Form Workflow

The workflow designer is used to create and maintain workflow for the form templates. The creation of form work flow is a simple process whereby form states are joined together to comprise a workflow. A completed form workflow should have all form states connected from the start state to end state.

In the example of the job application the workflow for the four form states, NEW, SUBMITTED, ACCEPTED, REJECTED is as follows. The NEW state is an initial state. From the NEW state a job application can only go to SUBMITTED. From the SUBMITTED state, a job application can either go to ACCEPTED or REJECTED based on the condition used to action on the state. Both ACCEPTED and REJECTED states are end/final states, thus it can not be progress to any other states.

How to create a workflow step
  1. From the Form Template Details screen, click on the Workflow link button.
  2. Select from a list of available states for the From State field.
  3. Select from a list of available actions for the On Condition field. Note the On Condition field is an action that triggers a state transition.
  4. In the Include Form Data In Email field, indicate whether the details of the submitted form (all the pages of main and state forms) should be included in email notifications to users.
  5. Select from a list of available states for the To State field.
  6. In the Email From Users field, indicate if users with access to the From State should be notified when a form is moved from the From State.
  7. In the Email To Users field, indicate if users with access to the To State should be notified when a form is moved to the To State.
  8. Provide an optional list of email addresses to send emails to when the workflow step is actioned.
  9. Provide an optional Description of the workflow step.
  10. In the Custom Message field, provide a custom message for when a form has been successfully submitted. A standard message had been provided, which can be overwritten.
  11. In the Redirect To field, provide a valid URL so that when data has successfully been submitted, Enterprise Forms will redirect the user to the provided URL.
  12. In the Submit Data To field, when a valid URL is provided Enterprise Forms will post submitted data in XML format to the URL. If a URL is provided an XML file containing submitted is posted to the URL.  More information on the XML schema is available here.
  13. Click on the Update link button to create the workflow step.
How to edit a workflow step
  1. From the Form Template Details screen, click on the Workflow link button.
  2. Click on the Edit link button of the Workflow step you wish to modify.
  3. Make the appropriate changes to the workflow step details.
  4. Click on the Update Link button to apply changes.
How to delete a workflow step
  1. From the Form Template Details screen, click on the Workflow link button.
  2. Click on the Delete link button (if available) of the Workflow step you wish to delete.
  3. Click OK on the confirmation dialog window to delete the Workflow step.
How to validate the Form Workflow

From the Form Template Details screen:

  1. Click on the Validate link button.
  2. If the Form Template is a valid form template, the system will display a message indicating the template is a valid form template.
  3. Otherwise it will display a list of errors.
