Once a form template has been published the Data Collection Manager (DCM) can be used to collect data. The Data Collection Manager module has been designed specifically to collect data at the initial stage of a workflow of the form template. Each Data Collection Manager module can only display one form template that can be customized via the Edit Options of the module. Thus if multiple form templates are published and ready to be used, multiple DCM modules also need to be created. There is a one-to-one relationship between the form templates and DCM modules. Once a template has been assigned, the DCM module automatically displays the main form of the template for when it is at the initial state of the workflow.

Consider the job application example with 4 states in the workflow: NEW, SUBMITTED, REJECTED and ACCEPTED. The DCM module will only collect at the NEW state and when the form is submitted it will automatically progress the form to the SUBMITTED state. Once the form has passed the NEW state, the DCM module does not know about it any further and this is when the Form Workflow Manager (FWM) module can take over.

How to assign a publish form template

1. To assign a published form template, simply click on the Edit Options link button displayed at the bottom of the module or select via the module's menu
2. In the Edit Options screen, select from the list of available published form templates
3. Indicate if extra form and template details should be displayed via the "Display Template Details" option
4. Select from the list of available Portal pages containing the Form Workflow Manager (FWM) module. This option tells the system that when email notifications are sent out, the link included in the email should be directed to the Portal page containing the Workflow Manager module so subsequent processes in the form workflow can be processed by the FWM module.
5. Click on the Update link button to apply changes.
